Information We Collect

ShowNotePad student accounts are limited to students age 13 or older. ShowNotePad does not offer accounts, and does not collect information, for children under 13 or students whose age is unknown. Only an authorized adult owner or administrator may enable and invite student accounts.

ShowNotePad is a shared production notebook, so the information we handle depends on what a team records, types, edits, and shares inside its workspace. Some of the information we collect is voluntarily provided, including the information described below.

Account And Team Information

We may collect production team names, member names, member email addresses for invites or account recovery, role and permission settings, device labels or identifiers, session information, and credential-related records such as password hashes, reset tokens, and invite status.

Rehearsal Content

ShowNotePad may store audio clips, typed notes, generated transcripts, AI-generated or user-edited tags, scene references, script-page references, completion status, note edits, deletion or suppression metadata, and sync or processing status.

Local Device Data

The desktop app stores local project data in the user's Documents folder so the notebook can remain responsive and recover from restarts. The Companion app can keep recorded clips and clip metadata on the phone until they are uploaded, deleted, or no longer needed.

Technical And Usage Data

We may process technical information needed to run the service, such as upload timestamps, sync timestamps, processing job status, request metadata, provider status, usage-metering events, IP address, browser or device information, and basic logs from our hosting providers. We do not use ShowNotePad data for advertising.

Microphone And Audio Notes

ShowNotePad records audio only when a user intentionally records a note. In the Companion app, recording is designed as a push-to-talk action. In the desktop app, recording starts when the user starts a note capture. Audio clips are uploaded to ShowNotePad cloud services so they can be transcribed, tagged, organized, and shared with authorized members of the same production team.

How We Use Information

We use information to provide the Service to you and protect ShowNotePad, including, without limitation, to:

• create an authorized account and sign production team members in;
• record, upload, transcribe, tag, display, and organize notes;
• sync shared notes between authorized team members;
• manage roles, permissions, invites, password setup, and account recovery;
• prevent duplicate uploads and recover from interrupted sync;
• comply with authorized school requests and applicable law, provide support, and respond to privacy requests;
• monitor service usage, reliability, security, and abuse prevention.

Additionally, we will:

• process Student Data only to provide, secure, maintain, support, and improve the reliability of ShowNotePad for the school;
• follow documented instructions that are consistent with the Terms of Service, including this Privacy Policy, the product's capabilities, and applicable law;
• restrict access to persons and subprocessors who need it to provide or secure the Service;
• maintain reasonable administrative, technical, and organizational safeguards;
• not sell Student Data;
• not use Student Data for behavioral advertising or advertising profiles;
• not use student notes, audio, or transcripts to train public AI models;
• not disclose Student Data except to authorized school users, approved subprocessors, as set forth in this policy or as directed by the school, or as required by law; and
• apply the retention and irreversible deletion controls described below.

AI Transcription And Tagging

ShowNotePad may use AI services to transcribe audio and classify note text into production categories such as sound, lighting, costumes, props, choreography, director, stage manager, scene, page, and set design. AI output can be reviewed and edited by authorized team members. We do not use rehearsal notes, transcripts, or audio recordings for advertising.

Sharing Within A Production Team

ShowNotePad is a team notebook. Notes, transcripts, tags, completion status, related audio, and author or device labels may be visible to authorized members of the same production team based on their role and permissions.

Users should not record private conversations or sensitive personal information that should not be shared with the production team.

Service Providers

We use service providers to operate ShowNotePad and ProEventTools. These may include:

• Cloudflare for hosting, serverless functions, storage, database services, release downloads, logs, and AI transcription or tagging;
• Resend for transactional email such as invites, password reset, and account recovery;
• Apple for iOS app distribution and platform services;
• Stripe for checkout, payment processing, subscription management, receipts, and billing records.

We do not sell or rent personal information, and we do not use third-party advertising or tracking SDKs in the current ShowNotePad apps. Pro Event Tools does not receive or store payment-card numbers. Payment-card information is entered on Stripe-hosted pages and is not stored directly by ShowNotePad. Student rehearsal content is not sent to Stripe. When redirected to Stripe, you should read Stripe's posted privacy policy explaining how it collects and uses personal information. This Privacy Policy does not apply to your activities after you leave our site.

Data Retention and Deletion

Current ShowNotePad education subscriptions retain text notes for up to 365 days from the note's server creation date and uploaded audio for up to 10 days. Notes explicitly deleted by an authorized user may be erased sooner. Expired and deleted notes are irreversibly erased.

When an authorized user deletes a note, ShowNotePad erases the note text, transcript, tags, completion details, submitter snapshot, and AI classification data. Attached audio becomes unavailable immediately and is scheduled for physical deletion. ShowNotePad retains only minimal non-content identifiers, timestamps, version data, and deletion state needed for security, synchronization, legal preservation where required, and prevention of stale-device restoration.

We may retain account, subscription, security, legal, and operational records longer when needed to provide the service, meet legal obligations, prevent abuse, or resolve support issues.

Data Export, Deletion, And Choices

A production team owner or administrator can request help exporting or deleting team data by contacting us. We may need to verify that the requester has authority over the production team before changing or deleting team data.

Depending on their role, ShowNotePad users may be able to edit notes, complete or restore notes, delete notes, manage team members, remove local phone clips, or request account help.

An authorized school owner or administrator may request help reviewing, correcting, exporting, or deleting retained production-team information by contacting sales@proeventtools.com.

Pro Event Tools may verify the requester's identity and authority before acting. Requests are limited to information that still exists within the applicable retention period. Pro Event Tools will not disclose another organization's data or restore information already deleted through the irreversible deletion path.

Children And School Use

ShowNotePad student accounts are available only for students confirmed to be age 13 or older. Accounts for children under 13 and students whose age is unknown are not supported. An authorized adult owner controls student access for the production team, and the school or organization is responsible for all notices, consents, authorizations, permissions, supervision, recording practices, and student-account policies required for its use.

Security

ShowNotePad uses role-based permissions, sign-in credentials, encrypted network connections, hashed credentials and tokens, and cloud-provider security features to protect rehearsal data. No system is perfect, so users should avoid recording highly sensitive information that does not belong in a shared production notebook.

Changes To This Policy

We may update this Privacy Policy as ShowNotePad changes. The updated policy will be posted at this URL with a new effective date.
